Restaurant no-shows: 9 ways to avoid empty tables
A guest makes a reservation, doesn't show up and doesn't cancel. The table sits empty at prime time. We've rounded up ways to cut down on nights like these, from confirmations to prepayments.
A no-show is a reservation the guest neither shows up for nor cancels. It hurts most on Friday and Saturday nights: the table holds space you can't sell to walk-ins, while the kitchen and the floor are staffed for a full house.
What a no-show really costs
The math is simple: number of no-show reservations × average party size × average bill per person. For example, 6 no-show reservations a week, 3 guests each, at PLN 90 per person, add up to PLN 1,620 a week, or more than PLN 84,000 a year. On top of that, there's the stock you ordered and the staff schedule you've already paid for.

9 ways that work
1. Confirm reservations right away
Start with an automatic message sent right after the reservation. The guest gets the date, time and party size in their inbox, and you know their contact details are correct.
2. Call before the visit
A quick call the day before gives the guest a chance to cancel before the table goes to waste. Better to hear about a cancellation on Thursday than not at all. A virtual AI employee can make these calls.
3. Make canceling easy
The easier it is to cancel, the more likely guests are to let you know instead of simply not showing up. Include a phone number in the confirmation and state clearly how late guests can change their plans free of charge.
4. Take prepayments where the risk is highest
You don't have to ask every guest to prepay. Peak days, larger groups and special events are enough. Before you set your rules, check how a deposit (zadatek) differs from an advance payment (zaliczka).
5. Put your reservation rules in writing
How many minutes do you wait for late guests? What party size requires a prepayment? How late can guests cancel at no cost? Short, clear rules in the confirmation and on your website spare you misunderstandings at the door.
6. Keep all reservations in one calendar
When reservations from the phone, Instagram and Google end up in different notebooks, it's easy to end up with double entries and forgotten tables. One calendar means fewer mistakes on your side.
7. Log walk-ins too
When walk-in guests go into the calendar, your staff can see how full the dining room really is. When a reservation falls through, you can see right away which table to give to someone else.
8. Look at the data
Check which days, times and party sizes see the most no-shows. Use prepayments or extra confirmations there, and serve all other guests without unnecessary formalities.
9. Decline with an alternative
When you're fully booked, don't stop at no. Add two or three open times to your reply: first on the same day, then on the following days. The guest knows right away when to come, and your free slots fill up.
How to measure no-shows
No-show rate = reservations nobody showed up for ÷ all reservations × 100. Calculate it separately by day of the week, time of day and party size. A monthly average hides the problem: a rate of a few percent on Wednesday and one in the teens on Saturday night are two completely different situations.
A cancellation made in advance isn't a no-show. It's good news, because you can still sell the table. That's why it pays to track cancellations and no-shows separately.
Confirmation template
A short message you can adapt to your venue. It works as an email or as an SMS:
Three things not to leave out: the reservation details, how long you'll hold the table, and an easy way to cancel.
How Townely helps
- Table Booking brings reservations from Google, Facebook, Instagram, phone, email and walk-in guests into one calendar. Every reservation and every change sends a message to the guest and to your staff, by email and SMS.
- Prepayments and online payments work in the Table Booking module, which you can choose on any plan. PayU handles the payments.
- Voice AI calls guests, confirms their visits and updates the reservation status in the calendar on its own.
“Since rolling out AI that confirms reservations, we've had a 94% success rate on completed calls with our guests.”
